Event registration

Take the registration and the money at the same time

Set the date, cap the places, publish the link. Registrants pay as they submit - with the card, Apple Pay, iDEAL or Bancontact your own provider account already accepts - and land back on a confirmation page of yours. The money goes straight to your Stripe, Mollie or WooCommerce account. Nothing per registration comes to us.

The builder, the places limit and the confirmation emails are free. Payment is Pro - €49,99 a year, which a single €50 registration covers.

From empty page to open registration

There is no account to create and nothing to configure before the first form. This is the whole path.

  1. Write the questions

Start from the event registration template - it opens the builder with the questions already written - or drag your own into place.

  2. Fill in the event details

Date, start and end time, location, organizer and price. They show on the form, ride along in the confirmation email, and become the calendar invitation.

  3. Decide how many, and until when

A maximum number of registrations, and an opening and closing date and time. Whoever arrives too late reads a message you wrote, not a broken form.

  4. Switch payment on

Connect Stripe or Mollie, or point the form at the WooCommerce shop this site already runs - there is nothing to paste for that one.

  5. Share the link

Every form gets its own page at an address you choose. Copy the link, copy the embed code, or download a QR code for the poster.

The things that actually go wrong at an event

Not features looking for a use - each of these is a way a registration list goes wrong, and what happens instead.

Someone bails at the checkout

The response is saved before the payment starts. An abandoned checkout is still a registration in your list, marked unpaid - somebody to chase, not somebody you never heard of.

An unpaid place holds a seat

Hold the confirmation email until the money lands, and keep an unpaid registration from counting against your maximum. One tick each.

You sell out and hear nothing more

A waiting list keeps the form open past the maximum and tells each person where they stand, so the cancellation on Thursday gets filled instead of wasted.

One person books for five

The form asks how many are coming and then asks for each of the others by name - and the maximum counts people rather than bookings.

Not everybody pays the same

Adults €25, students €15, under-12s free. Add the rates once, each with its own label, and registrants are charged the one they pick.

The event runs more than once

A workshop over three evenings, a tour on four Saturdays: several dates, each with its own times and its own number of places.

A school wants to pay on invoice

Registrations become ordinary WooCommerce orders, so a place can sit against thirty-day terms. The confirmation goes out by itself the moment you mark the order paid.

You need a list at the door

Export an attendance list with one sheet per date, each holding the people signed up for that session and an empty "Checked in" column to tick as they arrive.

Your other systems need to know

The payment rides along in the signed webhook payload, and the webhook fires again the moment the payment completes - so your CRM knows who paid, not just who signed up.

What it costs to run registration this way

You pay your payment provider's transaction fee, exactly as you would anywhere else. What you do not pay is a second fee on top of it.

Say you run one workshop a year: 40 places at €25 is €1,000 collected. A platform that takes 5% of each ticket takes €50 out of that one event. LocalForm Pro is €49,99 for the year - for that workshop and every other event, survey and form on the site.

Questions people ask before they commit

Does LocalForm take a cut of each registration?

No. The money goes from your registrant to your own Stripe, Mollie or WooCommerce account, and you pay that provider's transaction fee. LocalForm Pro is a flat yearly licence however many registrations you take.

Do I need my own payment provider account?

Yes - a Stripe or Mollie account, or a WooCommerce shop already running on the site. LocalForm connects to it; it never sits between you and the money.

Can I run free events?

Yes. The builder, the event details, the maximum number of registrations, the opening and closing schedule and the confirmation emails are all in the free plugin. Payment is the part that needs Pro.

Which payment methods can registrants use?

Whatever your own provider account has enabled - card, Apple Pay, Google Pay, iDEAL, Bancontact, SEPA and bank transfer are all common. LocalForm offers what your account offers.

What happens if someone abandons the checkout?

The response is saved before the payment starts, so the registration is in your list with the payment marked unpaid - somebody to chase rather than somebody you never heard of.

Can one person register several people?

Yes, with Pro. The form asks how many are coming and then asks for each of the others by name, and the maximum counts people rather than bookings.

How do refunds work?

In your payment provider's own dashboard, where you would issue any other refund. The registration stays in LocalForm with its payment status beside it, so your list and your provider's records stay recognisable to each other.

Do registrants need an account on my site?

No. A form is open to anyone with the link by default. If you would rather it were not, you can limit it to people signed in to your site, or to the roles you pick.
